ACDM26 Terms & Conditions of Booking

1. Exhibitor Cancellations/Changes

  • Exhibitor & Exhibition Stand cancellations will be accepted up to 12 weeks prior to the event and must be sent by email. Exhibitor personnel bookings can be cancelled up to 12 weeks of the event and an administration fee of £30 +VAT will be charged. Exhibitor stand bookings can be cancelled up to 12 weeks of the event and 25% of the stand fee will be charged, resulting in a refund of 75% of the stand fee. The 25% cancellation fee reflects the promotional activities and social media activities that will be happening in the run up to the event and will include considerable visibility of the exhibitor.
  • No refunds will be given for cancellations (or part cancellations of bookings) within 12 weeks of the event.
  • Substitute exhibitor personnel will be accepted at any time. Please email with details of the original booking and details of the new delegate including any dietary needs if necessary.
  • If within 12 weeks of the event you are unable to attend the event due to your company-imposed travel restrictions (including but not limited to pandemic) then this will not entitle you to any refund of your booking and full payment will need to be made if payment has not already been completed.
  • If within 12 weeks of the event you are unable to attend the event due to government restrictions preventing your attendance then the ACDM will not refund your booking and your company will need to make full payment and, if required, claim against their own insurance.

2. Sponsorship Bookings

  • The benefits of sponsorship start from the point of booking the opportunity. This includes but is not limited to visibility on social media, marketing activities and mailings and website branding. As a result of this, it is not possible to cancel sponsorship opportunities.
  • If the event is cancelled, for any reason, the sponsorship booking will carry forward to either the new date of the event or to the following year’s event. No additional fees will be charged and the specification of the sponsorship opportunity will remain the same. No refunds will be given.
  • If the company no longer wishes to sponsor the event (e.g. due to acquisition, insolvency) then you must notify ACDM immediately and the sponsorship will be removed.  No refunds will be given.
3. Delegate Bookings
  • No refunds will be given for cancellations (or part cancellations of bookings) within 12 weeks of the event.
  • Substitute delegates will be accepted at any time with no additional charge. Please email with details of the original booking and details of the new delegate including any dietary needs if necessary.
  • If within 12 weeks of the event you are unable to attend the event due to your company-imposed travel restrictions (including but not limited to pandemic) then this will not entitle you to any refund of your booking and full payment will need to be made if payment has not already been completed.
  • If within 12 weeks of the event you are unable to attend the event due to government restrictions preventing your attendance then the ACDM will not refund your booking and your company will need to make full payment and, if required, claim against their own insurance.
  • If you require a visa to attend ACDM26 the ACDM will provide you with an invitation letter only after booking and full payment has been made. Visa applications need to be made in good time and if your application for a visa is not successful you will need us to provide us with documented evidence of this. Providing this is submitted to us no later than 14 days prior to ACDM26 you will receive a full refund. If you receive a visa rejection within 14 days of the start of ACDM26 it is at the discretion of the Board of the ACDM as to whether a refund will be made. 

4. Cancellation of Event and/or bookings

  • ACDM will strive to hold ACDM26 conference as a live (in person). It is expected that there will be no COVID or epidemic/pandemic restrictions by 2026. However, the ACDM is aware that some delegates will be travelling from overseas countries and therefore additional COVID-related or epidemic/pandemic restrictions may be put in place by either the host country or the delegate’s own country at short notice. In making this booking you agree to the following:
  • Host country imposes restrictions meaning the Event is not able to go ahead.This includes, but is not limited to, closure of the venue, a limit on the number of people attending an event, closure of borders. In this case, the Event will move to a virtual presentation only event (no exhibition). This virtual event will be a reduced format and not equate to the running of ACDM26. ACDM26 will be postponed to a later date and all delegate bookings and payments will be rolled forward. Refunds will not be made but the delegate/company reserves the right to change the delegate who attends the postponed event. A fee will be charged to attend the Virtual Event and the existing payment may be used for this purpose with the remaining amount carried over as part payment for the postponed Event.
  • Company policy or personal preference prevents the delegate from attending. In this case no refund or credit will be applicable.
  • The ACDM reserves the right at any time to change the format of the event and point (a) will apply. The ACDM will do this without liability for any consequential or indirect loss

Neither Delegant Ltd or the Conference Venue take responsibility for any loss or damage to any equipment, materials or other items that are sent to, brought to or collected from the event venue. The shipper/owner takes full responsibility for any loss either direct or indirect as a result of any loss or damage to equipment or materials.

ACDM Event App (Swapcard) – Data Policy

Purpose of this Policy

This policy explains how delegate data will be used within the ACDM event app, provided by Swapcard, and the choices available to attendees regarding the visibility of their information.

Data Collected and Uploaded

ACDM will upload the following limited delegate information into the event app to enable registration and participation:

  • Full Name
  • Email Address
  • Company/Organisation
  • Job Title

No other personal data will be uploaded by ACDM without the delegate’s prior consent.

How Data is Used in the App
  • Delegate profiles are created in Swapcard using the above details.
  • Attendance is visible within the app only to other registered attendees.
  • Each delegate badge contains a QR code. When scanned, this enables Exhibitors and fellow delegates to access the contact information of the scanned person within the app.
Visibility & Control for Attendees
  • Opt-out / Non-visibility: Delegates may choose to make their profile non-visible in the app.
  • If non-visible, delegates will not appear in the attendee list and their contact details will not be disclosed to anyone, including Exhibitors.
  • Delegates remain able to access event content within the app regardless of visibility choice.
Sharing of Data
  • Delegate data will only be shared within the event app and visible to other registered attendees, subject to each delegate’s chosen visibility settings.
  • Exhibitors may only obtain contact details when a delegate’s badge QR code is scanned or if the delegate has chosen to remain visible in the app.
  • ACDM does not provide attendee contact details directly to Exhibitors outside of the Swapcard platform.
Data Security
  • Swapcard is the appointed event technology provider and processes personal data on behalf of ACDM under applicable data protection laws, including the UK GDPR.
  • Appropriate technical and organisational measures are in place to safeguard delegate data.
Data Retention
  • Delegate data will be retained in the Swapcard platform only for the duration necessary to deliver the event experience.
  • ACDM may retain registration records separately in accordance with its own data protection policy.
Delegate Rights

Delegates have rights under data protection law, including the right to:

  • Request access to their data.
  • Rectify incorrect or incomplete data.
  • Request deletion of their data after the event.
  • Withdraw consent for visibility within the app at any time.
